Administrator for Thornbury Area Youth Music


Location: Home-based (must have own IT equipment ie: computer/laptop). Available to attend our centre in Thornbury on some term-time Saturday mornings, to include the first two Saturdays of each term, concert mornings at the end of each term, and the annual open morning.

Salary: £16 per hour. We will pay you for the hours you work within agreed limits. Payment will be made on receipt of a TAYM Claim form, once approved by the Head of Centre. Hourly rate is reviewed annually.

Hours: By mutual agreement, hours will vary each week depending on the needs of the Charity; this could be around 3-6 hours per week during term time and some limited hours during school holiday times. You can work at a time that suits you as long as it meets the needs of the Charity.

Closing Date: 31st October 2025

Start Date: Ideally in early 2026 with some involvement before that if possible as we establish our new website which will include an online registration and payment system.

About us: TAYM is a local youth music charity dedicated to bringing musical opportunities to young people in our area. Every Saturday in term-time over 100 children attend our music centre at Manorbrook School, Thornbury to learn to play musical instruments, play in groups and enjoy making music together. We strongly believe that music should be inclusive and available to all so we support some of our students with bursaries and grants.

Purpose of the Role: This is a rewarding and important role, that ensures the smooth running of our music centre. You will be the primary point of contact for parents and a visible face of the charity to parents/carers and our young musicians. You will be part of a friendly and close-knit team with the Head of Centre and Treasurer and will have regular contact with our music tutors and charity Trustees.

Responsibilities:
- Be the primary point of contact for enquiries from parents/carers, informing them
about the centre’s activities and resolving issues through clear, friendly and
professional problem-solving and communication
- Implement our new online registration, invoicing and payment system
- Ensure appropriate fees are invoiced for and collected
- Maintain an accurate register of students and parents/carers, including medical and
emergency contact information
- Attend open mornings to promote TAYM and register new students
- Create promotion materials, social media and website content to inform parents/carers
and promote the charity’s work
- Make grant funding applications and provide grant reporting as required
- Purchase Tuck Shop stock (using a TAYM debit card)
- Organise the parent Volunteer Rota for Saturday mornings
- Organise, supporting and taking minutes of Trustee meetings
- Ensure compliance with data protection (GDPR) and safeguarding policies
- Organise raffle and refreshments for end of term concerts
- Other support for the Head of Centre and Trustees as required
- Counting and depositing cash at the bank, managing electronic payments

Essential Requirements, Skills & Experience
- Excellent interpersonal and communication skills
- Proven administrative experience
- Strong organisational skills and attention to detail, with the ability to prioritise tasks
effectively
- Self-confidence to make operational decisions while knowing when to refer issues to
the Head of Centre or Trustees
- Confident in using IT, working with data and web-based applications and a
willingness to learn new skills such as website or social media administration
- Ability to work independently and collaboratively as part of a small, dedicated team
- Enhanced DBS Certificate (funded by TAYM)

Desirable Skills & Experience
- Experience working in the charity, education, or cultural sector
- Understanding of safeguarding principles when working with young people
- Experience supporting events, workshops, or community programmes
- Familiarity with finance administration
- A first aid certificate or willingness to undergo the training

Terms and Conditions: TAYM does not have any employees/staff. All roles, including this one, are contracted as a service from an individual. There are therefore no employment rights, for example sick pay or holiday entitlement, associated with this role. You will be responsible for your own income tax arrangements.
